Recoveree Navigator needed for our Bridgeport Outpatient Clinic.

This is a key customer services representative role, that is part of the Front Office team which provides multiple services as the first point of contact between clients and the agency. Responsibilities include greeting clients, creating a positive welcoming experience for the customer at all times, answering phones and directing callers and visitors; managing the process of collecting fees, making sure all necessary agency personnel are aware of client insurance and entitlement information for accuracy in billing; identification of clients who are eligible for medical benefits and facilitating the registration process to ensure third party payer reimbursement is received for clients enrolled in residential and outpatient programs.

Major Duties and Responsibilities:

First point of contact Exceptional customer service

  1. Assume responsibility for resolution of client issues or problems
  2. Timely response to phone calls
  3. Maintain a professional demeanor; provide courteous service to clients, staff and visitors
  4. Answer screen and channel incoming calls using phone/intercom system
  5. Make appointments, provide information about treatment and services
  6. Demonstrate effective communication, adaptability and problem-solving skills
  7. Create a safe, sanitary, welcoming environment

Collections

  1. Collect and manage first and third party payments
  2. Complete payment receipts; promissory notes for self-pay clients
  3. Manage clinical record keeping
  4. Maintain close communications with the billing department

Entitlements

  • Ensure third party payer authorizations are completed and submitted to ensure reimbursement is received throughout treatment
    • Verify eligibility at least twice a month
    • Meet with all clients to complete required paperwork
    • Maintain a list of clients and their respective payer sources which is updated daily
    • Track units of service daily to ensure authorizations are identified and submitted on time to eliminate write-offs
    • Review authorizations on a daily basis to ensure all authorizations are completed and submitted prior to due date
    • File written confirmation of authorization in the clinical record to verify the authorization was pre-approved
  • Complete SAGA applications
  • Screen and track SAGA applications for all clients in residential programs; ensure applications are completed for all newly enrolling outpatient clients
  • Track and ensure utilization reviews are completed and submitted
  • Follow-up on process to ensure clients are approved for benefits

Coordinate with external financial and clinical resources

  • Coordinate with State agencies to ensure clients are receiving the State benefits for which they are entitled
  • Coordinate with clinical team to ensure clients are receiving maximum benefits available

Administrative

  • Timely data entry of confidential client information into medical records
  • Completion of administrative tasks (faxing, scanning, emailing, filing)
  • Ordering of clerical/building supplies
  • Maintenance of incoming and outgoing mail, including certified and FedEx/UPS
  • Maintenance of postage, copier and fax equipment

Education and Experience Required:

  • High school diploma or equivalent, Bachelors Degree in Business or Human Services Field recommended
  • Experience in behavioral health or medical office
  • Experience with financial collection practices; medical records and confidentiality practices
  • Knowledge of state medical benefits and experience communicating with insurance companies
  • Proficient in excel and database management
  • Exceptional customer service skills
  • Must have strong oral and written communications skills along with the interpersonal skills to work effectively at all levels of the organization and its stakeholders

The Recoveree Navigator is a full time non-exempt (40 hours/5 days per week) position. The schedule is Monday to Friday, three early days from 6:00AM to 2:30PM, and two late days from 10:00AM to 6:30PM.
